Instructions for Speakers and Session Chairs

Meeting Session Chairs and Speakers

Before the individual sessions, Session Chairs and Speakers should meet in the respective session room.

  • Speakers should bring their presentation slides in some computer readable medium (preferable a USB memory stick).
  • Speakers should hand over the media with the presentation to the local staff member there at least 15 minutes before the session starts. Presentations can naturally be given earlier to the staff members. To minimize the switching time from one speaker to the next, the staff member will copy the presentation to the computer in the room and will test it. (Of course, if absolutely necessary, exceptions can be made and presenters may use their own laptops for the presentation.)
  • Session Chairs and Speakers of the afternoon sessions may complete this procedure during lunch time, or in the afternoon coffee break.
  • Session Chairs and Speakers of the morning sessions should try to meet and install the presentations, on the day before, preferably at the afternoon coffee break, or in the end of the afternoon sessions.
  • In case some Chairs or Speakers do not appear at the meeting point, please contact the members of the local organization (who will have a bagde with a different color), or ask for help at the Conference Desk.

Speakers

Please attend the session room 15 minutes before the session starts.

  • Speakers will have 25 minutes for the presentation and 5 minutes for questions.
  • Speakers will have at their disposal:
    • A computer projector, capable of resolutions up to 1024x768;
    • A computer plugged to the projector; with Microsoft Power Point, and Acrobat Reader installed;
    • A conventional overhead projector;
    • A member of the local organization to help solving any hardware or logistic problem that may arise.

Session Chairs

Please attend the session room 15 minutes before the session starts.

  • Please plan with your Speakers how to introduce them to the audience, and remind them of the time limits for the presentations.
  • Please note that the session time schedule has to be strictly adhered to. Please enforce strict time limits: 25 minutes for the presentation and 5 minutes for questions.
  • Presentations should start at the times originally scheduled, as indicated in the conference program. In case a presentation does not take place (e.g., the speaker does not show up), please do not shift forward the remaining talks; you may, however, allow more time for preceding speakers.
  • In each room, a member of the local organization will be available to solve technical problems.
